CNIA ASSEMBLY STRUCTURE AD-HOC COMMITTEE OPTIONS & CONSIDERATIONS

Purpose: Propose alternative assembly options based on feedback from assembly structure survey and ongoing discussion comments to consider possible changes for our 2027 assemblies (if approved by the body at an Area Assembly)

Recommendation: Prepare a draft motion to circulate throughout our area to inform groups through their GSRs of a possible motion to come forward at the Fall Assembly to change our assembly structure beginning in 2027.

Steps to Present Motion at Fall Assembly:

  1. Consider and discuss options at August ACM
    1. Revise and present DRAFT proposed motion in September
    1. Finalize DRAFT proposed motion to distribute and communicate intent to make motion at Fall Assembly (Voting members should be informed enough to discuss and possibly vote in November in time for December Planning Meeting)

Purpose of Assemblies

  • Winter – Area Business, Enrichment (eg. GSR School), Fellowship/Connections
  • Pre-Conference – Inform Delegate on General Service Conference Agenda Topics
  • Post-Conference – Area Business, Delegate’s Report Back, Enrichment (eg. Panels)
  • Fall Assembly – Area Business (Spending Plan, Inventory/Elections), Enrichment
  • Proposed Online Only Assembly – Business Only (maybe enrichment)

Suggested Options – to review, discuss, and revise

General Timing (samples, at discretion of alternate chair and host committee)

Current Structure

  • 2-day assemblies typically run 12pm-8pm on Saturday; 9am-12pm on Sunday (+/- 9.25 hrs.)
  • 3-day assembly typically runs 7pm-10pm on Friday, 10am-6pm on Saturday; 9am-12pm on Sunday (+/- 12 hrs.)

Options 1 & 2

  • 1-day assemblies – propose 10am-6pm (+/- 6.5 hrs)
  • 2-day assemblies – propose 12-6pm on Saturday; 9am-12pm on Sunday (+/- 8.25 hrs.)
  • 1-day summer online assembly – propose 10am-4pm (+/- 4.75 hrs)

NOTES:

  • Propose a pilot for 2027 & 2028 and review mid 2027 to see what is working best for most members (without leaving others behind)
  • One-day assemblies may propose a travel burden for some and still require lodging
  • Reducing the number of days for assemblies encourages us to be efficient with our time and provides cost savings to the area, districts, and groups (depending on location and travel need)
  • Consider renaming Mini-PRAASA and Election Assembly to Fall Assembly – Inventory/Elections
  • Consider scheduling assemblies closer to quarterly – January, April, June, Oct/Nov
  • Consider having Fall Assembly consistent in either October or November every year
  • Consider designated venue for north, central, and southern districts to host.
  • Online Assembly may be a barrier for some groups/districts
  • Offer dinner/speaker meeting on Friday night preceding one-day assemblies for those who choose or need to travel the night before
  • How do we make future changes in a timely manner?
